Founded in 1925 and a leader in the production of Stainless Steels, Nickel Alloys and Titanium Long products, Valbruna is a private company with 2,500 employees and an annual output of approx. 250,000 tons of specialty steels. Production is primarily focused on Stainless Steels and Specialty Alloys, available in blooms and billets, ingots, round, square, flat, hexagonal and angle bars, wire rod, wire, reinforcement bars and threaded rods, with the expressed goal of satisfying the most sophisticated needs of the customer. To that end, Valbruna is constantly updating its production capabilities and experience.

Job Summary:
The incumbent is responsible for providing administrative support for the day-to-day functions of the sales team.

Essential Duties/Responsibilities:
Serve as an extension of the Sales team when representatives are on the phone, away from the office, on vacation, etc.
Answer phones as needed.
Provide a point of contact for customers with queries about order or delivery status.
Expedite with the warehouse and notify customers when needed.
On a three-week rotation, pull all open orders by customer, submit status to parent company in Italy via email or to Fort Wayne mill through the Helpdesk Ticket System.
Advise the sales team of the pending expedite by giving them the orders to notify the customer once they receive the mill response.
Handle customer returns, credits, and adjustments through the NCR system.
Assist with the data entry of End-Users into the Microsoft Dynamics CRM system.
Responsible for invoicing of previous days orders.
Matching up warehouse and office copies.
Data entry of the orders through the invoicing system.
Run Daily Shipment verification report.
Coordinate with the other branches for completion and advise the Fort Wayne mill when completed billing for the day.
Scan and send copies shipping documents of orders (i.e. packing list, BOL and test reports) to specific customers and other branches.
Receiving of containers from the parent company in Italy.
Receiving of material from the Fort Wayne mill.
Daily Entry of Order Headers and Proposals for the branch as given by the Sales Manager.
Assist with customer requests of paperwork - (i.e. copies of test reports, revisions, etc.).
Filing.

Required Skills/Abilities:
Strong interpersonal and communications skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines and deal effectively with conflicting priorities.
Ability to function effectively in a fast paced and at times stressful environment.
Strong analytical and problem-solving skills.

Education and Experience:
HS Diploma required.
Two years’ experience in an administrative role is preferred.

Schedule:
Normal work hours are 8:00 a.m. – 5:00 p.m., some overtime based on business need.
$19 per hour
